Scout Fact sheet tip | Kirklevingtonexplorerscouts.org.uk |
|
Purpose - Why Create the Website?
A website should have a purpose, and a clearly defined set of information to publish.
|
The second paragraph on the home page clearly states why this website was produced, and it's current purpose.
|
Who is the website aimed at
Scout association members, interested public, prospective members
|
This website is aimed at:
Scouts, to give them ideas for future events and programme ideas
Members of 1st Kirklevington Scout Group with local information
The 'General Public' as a point of contact with the Scout Group, and links to Stockton, Thornaby and District Scouts
|
Who is going to update the website
Decide is who is going to provide the information for your pages and keep providing updates
|
Much of the content of the website is static, requiring minimal updating. Simple programming allows for temporary alerts and messages to be
displayed easily. Updates and ideas can be sent to the published e-mail address (
) which is regularly checked.
|
Where to put the website?
The website has to be put online somewhere - which means it has to be 'hosted' by someone such as:
Free space on a web server
(note: nothing is ever free and your site may have advertisements. You will need to make sure that advertisements are appropriate).
Purchased Web Space
|
Kirklevingtonexplorerscouts is hosted on purchased web space and all content including any advertisements is controlled by its administrators
|
Choosing a name
What the web address is going to be
Free name – with free accounts it is possible to set up a name but the name normally includes the ISP name, e.g.
www.myisp.co.uk/1stAnywherescouts/
Domain name registration, it is possible to purchase a name that is personal to you e.g. www.1stAnywherescouts.org.uk
|
The web address is Kirklevingtonexplorerscouts.org.uk, purchased (or hired) specifically for this website.
|
|
Safe from Harm
ALL Scouting websites shall do nothing to harm, or to encourage or provide information that can harm anyone
This includes publishing personal details such as full names, addresses (including personal e-mail addresses), phone numbers and other information that
can be used to contact and identify its members
Websites should be careful about including photographs, contact or other details which together could serve to make children easy to identify and
contact.
Members and leaders should NOT be easily identified, or contactable with information provided by the website.
Do not give out their email or other contact details.
Do not use their full names.
Avoid using names at all if possible.
Avoiding using leaders personal email
Never publish home addresses or phone numbers
Always ask adults if you can publish their full name
|
There is no content on this website that can provide information that could harm anyone
This includes having no full names (either on one page, or separate parts of a name on different pages), no addresses or other information that can be
used to identify or contact anyone featured on the website
All photographs are small and low resolution to reduce the possibility of members being easily identified and contactable, while being large enough to show the activity in progress.
No member is able to be contacted with information provided by this website
The only e-mail address used is specific to this website or has been specifically asked to be included.
No full names, in full or on separate pages are used
Very few names are used and are in context
No personal e-mail addresses are used, unless specifically asked to be included
No addresses or phone numbers are used
No full names are used
|
Photographs
The subject of a photograph should be given the opportunity not to have their picture displayed on the Internet. Whilst this is not a legal requirement,
it is good practice and good manners to seek approval.
|
There are few photographs on this website, and approval was given for their use. Anyone featured can ask for them to be removed. Index pages of photographs have a clearly visible contact e-mail address and wording to advise that subjects of the photographs can contact the website to ask for them to be removed.
|
Meetings
Exact details of meeting places and times should not be published. It is acceptable to use: ‘The Beaver Scouts meet on Thursday. To find out more
contact Beaverleader@somewherescouts.org.uk.’.
|
The meeting times are not published, just the days of the week.
|
Events
If you want to provide future programme information for parents and older Members, you must do this in a protected area of the site. Publishing details
of events might sound like a good idea, however do not go into much detail. Young people might be put at risk because constant supervision might be
difficult. For leaders, remember, when publicising events, you could also be telling others when a Leader’s house may be empty.
|
There is no protected area of the website, and this is to allow it to exist with minimal updating. Protected areas require maintenance.
My second argument for not publicising events on this site, is that if the young person wants to take part they will remember the details when they are
explained during a normal meeting, if they don't want to take part they won't. If they forget details they all have the leaders contact details and the
website provides a contact e-mail address if they have forgotten how to contact the leaders.
My last reason for not publicising events is a dislike of out of date information on a website, and future event details quickly become out of date.
|
Leaders and helpers
Leaders and helpers should be afforded the same protection as the younger members
|
All the guidelines detailed here are applied equally to all members of the group.
|
|
Content
The content of your site depends on the purpose of the site and should include the following.
|
|
Legal Requirements
Privacy Statement – If the website collects any personal information this should be specified and detailed what the purpose of the collection is. This
might be user entered information or from the web server log files. Mention if Cookies are used at all. You need to tell the user that the site contains
links to other Internet sites and that this privacy statement only covers your site name.
|
There is no personal information collected by this website. No cookies are used. There are some forms that the user can complete, these are programmed with javascript, which is processed on the users PC, and so the data is not transmitted anywhere.
|
Term’s Statement
This describes what your site does and whom it is for.
|
The second paragraph on the home page clearly sates why this website was produced, and it's current purpose.
|
Disclaimer
You need to include a disclaimer e.g. ‘The views expressed in the website are not necessarily those of the Scout Association.’
|
This is clearly stated on the 'disclaimers' page
|
Copyright Statement
A simple statement should be added along the lines of ‘The content of this website are the copyright of the 1st Somewhere Scout Group 2003’.
|
A simple statement is shown at the base of the most pages
|
Other Legal Issues
Copyright – Don’t break copyright.
|
All content from other sources are identified and the original source identified. Information from other sources is used minimally
|
Links
Only link to the home pages of other Internet sites, unless you have sought permission to link to ‘deeper’ pages.
|
All links are to the home page of other websites, unless it is appropriate to link 'deeper' into the website.
|
Libel Information can and has been used in libel and other legal proceedings. Always think before you put information on your site. The guide you should use
is: ‘would I be happy if what was written referred to me?’
|
This has been considered, and based on the Safe From Harm Guidance, there is little information on this website of a personal nature.
|
|
Other Design Tips
Graphics
Use graphics carefully and each should have a purpose
|
Each Graphic has a purpose and are used sparingly. Animations and sounds are not used as they detract from the content.
|
Forums
Forums, Newsgroups, Chat rooms and Guest Books
These are great for getting feedback about the site and exchanging information, but any information that is posted to them must be moderated by you
before it is put on the site.
|
There are no forums, newsgroups, chat rooms or guest books. The website does not require them.
|
Some Do’s and Don’ts
Don’t use the latest technology on your site; setting it up for the very latest Internet browser
Don’t have ‘Under Construction’ pages
Do set your pages for viewing on a 800 by 600 or 1024 by 768 monitor.
Don’t use Intro or Gateway pages unless you add a button to skip them
Do be careful with the download time of your site.
Do be careful with your navigation. A good tip is to make every page accessible within three clicks of your home page, and have a link to the home
page from every page.
Do include contact email addresses so people can find out more
Do keep information up to date
Do publicise your site.
Do break up pages into reasonable chunks.
|
This website uses little programming and technology making it suitable for a wide range of web browsers
There are no 'Under construction' pages
This has been viewed on a range of monitor sizes acceptably
There is no introduction or gateway page because these annoy me
This website is not heavy with graphics and was first uploaded and tested using a Dial up connection so it is optimised for fast downloading
It should be possible to get to every page with 3 clicks
Contact e-mail is shown at the foot of most pages
The page is mostly static and mostly will not become out of date. Where required a simple javascript code is included to allow temporary links to pages to prevent pages becoming out of date
The site is publicised on the top search engines and relevant websites
Apart from this page, No page is too long
